A cancellation policy sounds like fine print, but it is really just a small promise in both directions. You promise to hold the time. Your client promises to tell you if plans change. Written down once, it saves the awkward "so do I still owe you?" conversation later - and it quietly protects the hours you cannot sell twice.
The trick is to sound like a person, not a contract. A good policy is short, fair, and easy to find. Here is what to put in one, how to word it warmly, and three templates you can copy straight into your booking page today.
Why a written policy helps everyone
Without a policy, every cancellation is a fresh negotiation. With one, the rules are the same for everybody and nobody has to be the bad guy in the moment. Clients actually prefer this - clear expectations feel fairer than a vague "we will see." It also gives you something calm to point to when a late cancellation does happen.
What a fair policy includes
You do not need legal language. You need four plain things:
- The notice window - how far ahead you ask people to cancel or move a booking, usually 24 or 48 hours.
- What happens inside that window - nothing, a small fee, or a lost deposit. Keep it proportionate.
- How to cancel - a link, a reply, a tap. The easier this is, the more people use it instead of vanishing.
- The human exception - one line saying life happens and you will be reasonable about genuine emergencies.
That last line matters more than it looks. It signals you are running a calm business, not policing people, and it almost never gets abused.
